Description The First Judicial District is seeking qualified applicants for two full-time customer focused and team orientated Court Operations Associates to join the Scott County Court Administration team in Shakopee. The Court Operations Associate position is a fast paced, highly detail orientated position with a variety of responsibilities. Primary responsibilities for these positions include, advanced case processing in an electronic environment, extensive work in the courtroom, including live case updating while court is in session, and providing exceptional customer service on the phone and in person. These positions will work directly with the public, judges and justice partners. Duties require the application of independent judgment and the interpretation of established laws, policies, procedures, regulations based on training and knowledge gained through experience on the job. These positions are classified as a Senior Court Clerk within the Minnesota Judicial Branch job classification system and are a Teamsters CAT represented position. The primary work locations for these positions are in the Major and Minor Criminal Divisions of the Scott County Judicial Center, 200 Fourth Avenue West, Shakopee, MN 55379. Standard hours of work are Monday-Friday, 8: 00 AM – 4: 30 PM. Example of Duties The following are examples of major job duties expected for this position: Performs the full scope of varied court clerical work involved in case processing in the areas of probate, jury, conciliation, traffic, criminal, civil, juvenile and family. Primary focus at this time will be criminal/traffic. Performs work manually and electronically on the Minnesota Court Information System (MNCIS) and related computer systems (e.g., CAMPER, e-charging system, county databases, imaging systems, OFP databases, DVS interface, Task Manager, and others as needed.) Reviews legal documents for completeness, adequacy, accuracy and compliance with rules and statutes; determines processing required and takes necessary action in accordance with applicable court rules and business practices, or refers highly complex or unusual matters to a Court Clerk Leadworker or supervisor. Enters manually or live updating on computer system, required permanent record information such as case events, bail information, case activity, dispositions, sentencing, orders for protection or harassment restraining orders; enter and update case information and generate legal documents as decisions are made by the court during proceedings; ensures that electronic messages containing custody, warrant and sentencing information are passing to partner agencies in a timely and accurate manner. Performs courtroom clerical duties: prepares case files and forms for court; manages court records, assuringcompleteness and accuracy of records; checks people in and calls the calendar;swears in jury panels and witnesses; takes court minutes and/or may operate electronic recorder to record dispositions; sets court dates for next appearance; notes continuances, makes minute and docket entries and prepares orders to reflect case progress accurately and timely. Communicates courteously and effectively with court stakeholders, customers and has daily contact with: judges and judicial officers while working as their assistants in court proceedings, performing in-court updating duties, and responding to requests for documents or other information; the general public, pro se litigants, attorneys and representatives from outside agencies for the purpose of answering questions relative to court policies and procedures, providing referrals for further assistance, providing information on case status and court records, and assisting with the processing of applications and documents; and with local law enforcement agencies and personnel for the purpose of exchanging information on court cases and proceedings. May participate in and coordinate the scheduling and calendaring of arraignments, preliminary hearings, pre-trial conferences, continuances, trials and other matters; sends out notices; contacts attorneys and parties concerning rescheduling; makes appropriate record entries. Cross-trains on procedures used in other areas and provides back-up for other clerk positions as assigned.
