The is hiring a Court Clerk (OJD Judicial Services Specialist 3) in Coquille, Oregon. The primary purpose of this role is to provide administrative support and perform clerical tasks to the Criminal/Juvenile Department. This position is best suited for someone who understands how this court serves the residents of Coquille and surrounding towns in Coos County and who embraces this opportunity.

You will work in the courthouse performing moderate to complex clerical tasks on behalf of the court. You may also be in a courtroom logging court events in real-time. You will generate case documents and will also review documents filed with the court for accuracy and completeness. You will be using a computer to enter information on electronic case records.

Minimum Qualifications

The qualified candidate must have at least two (2) years of responsible, clerical experience in a moderately complex office or business setting involving the processing of financial, administrative, or legal documents.

AND

Possession of a high school diploma or GED, or equivalent life or work experience.

OR

Any combination of to three (3) years that typically supports the knowledge, skills, and abilities for this position

Requested Skills and Attributes

Experience answering general questions and explaining rules, policies, and procedures to customers.

Experience using a computer for data entry, scheduling, and to manage and maintain records within the past five years.

Experience working with and safeguarding sensitive, controversial, and/or confidential information.

Experience ensuring the accuracy of forms, memos or other documents.

Ability to effectively serve customers while working in a small, rural community.

More information about the position

You will determine what actions, if any, are the next steps on certain case types. You will have frequent interaction with judges, attorneys, parties to cases, and with people who are facing challenging life circumstances or stressful situations. This could take place in person at a public service counter or over the phone. You will answer questions about case status, court procedures, or which forms are available to customers. The courtroom work is fast-paced and involves frequent distraction or interruption, while you use a computer, audio recording software, virtual meeting software, and other courtroom equipment. You will use established policies and procedures to perform your work and will have strict deadlines about specific case matters based on Oregon Revised Statutes.

Most importantly, you will be working for Oregon’s court system, which provides justice services to your community and helping to ensure people’s cases are heard in a timely and impartial manner.

We also need someone who can respond professionally when many of our court customers are facing life-changing circumstances, highly stressful situations, or trauma. We need a person who is accurate and accountable when updating case status and meeting strict juvenile and criminal law deadlines.

WORKING CONDITIONS

This is a full-time position and the work schedule currently is 8: 00 a.m. to 5: 00 p.m. Monday through Friday. It is eligible for overtime compensation for hours worked in excess of 40 per work week.

Occasional after-hours or overtime work may be required.

Frequent long periods of sitting in the courtroom.

Regular use of the following equipment: telephone, OJD-assigned computer with multiple monitors, copy machine, fax machine, and scanner.

Frequent lifting, bending, twisting, kneeling, and standing may be required.

Lifting up to 30 pounds of office material or equipment may be required.

Criminal Background Check

You will be subject to a criminal background check if you are a finalist. Adverse results are evaluated on a case-by-case basis and may result in disqualification if the circumstances are directly related to the duties and responsibilities of the position.
