Job Summary

This position supports the eviction prevention and rental assistance efforts for the Y, providing administrative support to ensure program goals are being met. You will be processing applications, manage complex data and records, communicate with landlords/renters, prepare reports for stakeholders, prep for audits and ensure quality assurance standards are met. Provides program participants with a welcoming and supportive environment.

This position is at the Social Impact Center Y, the social services branch of YMCA of Greater Seattle (YGS). The mission of the Social Impact Center Y is to accelerate young people’s ability to build safe, successful, and happy lives. Every year, we serve 5,000 children, youth, young adults, and families across King County with programs that aim to strengthen young people’s ability to develop to their fullest potential through four strategies: reducing risk factors; navigating systems towards successful life transition; ensuring stability, safety and wellness in times of crisis; and building competencies and social capital. The Social Impact Center Y’s programs include housing, behavioral health, foster care licensing, violence prevention, education, and employment. Many of the young people we serve have had involvement in the foster care, criminal justice system, and/or homelessness systems.

Responsibilities

1. Develop and ensure program administrative processes, practices, guidelines and workflows for administrative, program and department staff are implemented.

2. Work directly with renters and Landlords (including phone calls and email communication) to provide accurate intake paperwork and documentation.

3. Database management of outside vendors and clear documentation requirements.

4. Manage complex data and records. Prepare appropriate related reports as needed.

5. Manage the purchase, maintenance, programming and upkeep of office equipment including telephone system, fax machines, copy machine and printers, as well as all other office machines.

6. Provide support across the agency on project and coverage for housing and homeless programs as needed.

7. Orders office supplies and maintains program statistics.

8. Provide leadership and administrative support to the branch and Association annual fundraising, including event coordination, record-keeping, materials production, monthly billing to donors, and thank your communication. May also provide similar leadership and support to other major branch events.

9. Handle complex situations in a timely manner.

10. May train, coordinate, and/or schedule staff and/or volunteers.

11. Provides information and administrative support to programs. Assures good communication between program sites and office.

12. Provide general administrative support to program director as needed.

13. Other related duties as needed.

Qualifications

1. High school diploma or equivalent. Associate’s or Bachelor degree preferred. Other applicable education, training, and experience, which provide the knowledge, abilities, and skills necessary to perform effectively in the position will be considered.

2. Two or more years’ experience in administrative support/data entry

3. Functional expertise in CRM database work.

4. Knowledge of standard office equipment.

5. Proven experience facilitating small groups.

6. Ability to manage and prioritize multiple projects

7. Access to reliable transportation

Preferred Attributes and Skills:

  • Experience with YMCA business functions and processes preferred.
  • Prefer knowledge of, and previous experience with, diverse populations (language, culture, race, physical ability, sexual orientation, etc.).
  • Ability to speak any language in addition to English may be helpful.
